How To Change Sales Tax Rates

If you have a change in your sales tax rate(s), do not change the rate in your existing sales tax rules under Setup > Sales Tax.  Instead, you need to create a new sales tax rule in that window by selecting the next blank line in the window and filling in the fields at the top of the window.  You should change the name the of old rule slightly to differentiate it from the new rule (perhaps add something like "Pre-2016" to the name). Remember that everyone needs to close and open their QFloors program after you make changes in this setup window.

Eventually, you need to deactivate the old rule by clicking on that rule in the list and unchecking the Activate checkbox.  Don’t deactivate the old rule too soon, but if you do need to use it again, you can activate it again.


You need to find out from your state (or county or city) if the new sales tax rate must be applied to sales that were written before the rate change takes effect but are being installed after that effective date.  If the rate change does apply to those sales, you need to change the sales tax rule selected on all of those sales orders. To do that

  1. Set up the new sales tax rule (click Setup > Sales Tax).

  2. In the search window of the Sales screen, change the Reports option to InProcess All.

  3. Click the sales tax button that is just below the customer e-mail field on the sales order, then select the new rule you have created.  Click the Save button.

  4. You probably need to make that change on Proposal sales orders too.  Click the Proposal tab at the top of the list of sales, then do step 3 above for each sales order in the list.


If you use the Sales Tax Table for city and/or county sales tax rates, remember that that table also has the state rate, so you also need to change the state rate there.  These steps involve saving and finding files in Windows, and using a spreadsheet program. If you are not familiar with these things, or don’t have a spreadsheet program installed, contact your computer or network tech for assistance.

  1. Click File > Preferences > Sales Tax Table.

  2. Click the Export button.

  3. Choose a location on your computer to which you will save the file (make sure you know where you’re saving the file), then give the file an appropriate name, then click the Save button.  The contents of the window will be saved in a CSV file.

  4. You must have a spreadsheet program installed in order to open and work with the saved CSV file.  Find and double-click the file to open it in your spreadsheet program.

  5. Make changes to tax rates then save the file.  DO NOT change the City names in the spreadsheet.  When you import the new CSV file into QFloors, it will use the city names to match what’s in the CSV file to what is already in QFloors, so if the names have changed you’ll have duplicates.  If you need to change city names, change them in QFloors, then export the list again.

  6. In QFloors, click File > Preferences > Sales Tax Table.

  7. Click the Import button.

  8. Find and select your new CSV file, then click the Open button.
